1. What we collect
We collect only what we need to file and track your permits:
- Contact details: name, company, email, phone.
- Project details: addresses, jurisdictions, trade types, project descriptions, license numbers you provide.
- Uploaded documents: signed authorization letters, photo ID, plans, cut sheets, and other files you submit for filing.
- Payment records: which service you ordered and whether payment cleared. Payments are processed by QuickBooks — we never see or store your card or bank numbers.
- Usage information: pages visited, tools used (checker, estimator, tracking), and addresses you check. Stored in your browser where possible rather than on our servers.
- Order history: your orders, status timeline, and communications about them.
2. How we use it
- To prepare, file, and track your permit applications with cities and jurisdictions.
- To send order confirmations, status updates, invoices, and filing results.
- To run the client dashboard — your permits, documents, and renewal reminders.
- To operate opt-in features you choose: the newsletter, referral credits, shared-permit links, Pro match.
- To improve our tools and published permit guides (always aggregated — never tied to you personally).
3. What we share — and what we don't
- Cities and jurisdictions: we file your applications, plans, and contact details with the reviewing agencies — that's the job.
- Service providers: our hosting (Cloudflare), document storage, payment processor (QuickBooks), and email delivery — only what they need to do their part.
- Legal compliance: when required by law or court order.
- We never sell your personal information. We never share it with advertisers, data brokers, or marketers.
4. Photo ID and authorization letters
Some jurisdictions require us to verify who authorized a filing. Your photo ID is used only for that verification and is stored securely. We do not share it with anyone except the filing agency when the agency requires it.
5. Shared permit links
If you share a permit via a magic link, recipients can view the status timeline you chose to share. They don't create accounts and we don't collect their information. You can revoke a link at any time.
6. Your rights (California)
Under the CCPA you may request to see what personal information we hold about you, delete it, or correct it. Email [email protected] with the subject "Privacy request" and we'll respond within 45 days. Filing records we submitted to a government agency can't be deleted from the agency's own records.
7. Security
Documents are stored encrypted at rest. Access is limited to the PermitsPros team handling your filing. No system is perfect — if we ever learn of a breach affecting your information, we'll tell you promptly.
8. Children
This portal is for adults and authorized business representatives. We don't knowingly collect information from children under 13.
9. Changes
We'll post changes here with a new effective date. If a change materially affects your rights, we'll note it on the portal home page for 30 days.
